Description – The Administrative Executive Team Leader Role plays an important role in setting the tone for the organization.  As the first person and last person clients see when they are in the office, the Administrative Executive Team Leader is instrumental in making sure clients have a positive experience.  In addition to first impressions, the Administrative Executive Team Leader is the primary support and expertise for all back office administrative responsibilities and day-to-day and must be able to work effectively with other staff members, clients and the Advisors.  

Major Areas of Responsibility

First Impressions

Greets clients and makes them feel comfortable when they visit the office

Handles and coordinates incoming phone calls

Handles and coordinates all other visitors, suppliers and vendors

 

Administrative Duties

Lead administrative support and expert on all back office administrative functions

Process all client account services including, but not limited to new accounts, account amendments, transfers, wires, contributions and redemptions

Coordinates and schedules meetings/calendar for the Wealth Advisor(s)

Master and maintain client services on CRM

Assists with organizing events as required

Communicates with clients in person, in writing, and over the telephone.  Meets with clients to complete paperwork and attends periodic client update meetings with select clients.

Coordinates team meetings, sets agenda, disseminates minutes, resulting tasks and timelines for completion.

Knowledge of the securities industry’s rules and regulations is an asset

Ideally experience in a financial services firm assisting with day-to-day operations

 

Salary is commensurate with experience.
